Exmoor House booking conditions and other information

Booking conditions
(the boring but essential bit - please do read them thoroughly)

Deposits
A deposit of £25 per person is required to confirm each booking. We cannot guarantee to hold a room if no deposit has been paid. We usually take deposits over the telephone by debit or credit card (please do not send any card details via email). Alternatively, you can send a cheque to us if you prefer - made payable to ‘Exmoor House Country Hotel’.

Payment
We accept most credit/debit cards (debit cards are preferable). Cheques are accepted up to the value of an accompanying cheque guarantee card. You may also pay the balance of your stay in cash.

Cancellations
We regret that where reservations are cancelled, guests’ deposits are non-refundable and if we are unable to re-let the room(s), it may be necessary to charge up to the total cost of the booking. If you cancel at the last minute, do not arrive on the date booked, curtail your stay partway through, or do not take any of the services booked, you remain liable for the full cost.

You are advised to consider taking out a travel insurance policy to cover these eventualities. One company providing such policies can be found here. Please note that this does not constitute a recommendation; for advice about insurance you should contact an organisation registered with the Financial Services Authority.

Non-availability of accommodation
In the unlikely event that, for reasons beyond our control, your accommodation should be unavailable, we would attempt to find a suitable alternative. If this were not possible, or not acceptable to you, then we would refund any money you had paid us. Our liability would not extend beyond this refund.

Arrival and departure
Your room will normally be available after 2pm on your arrival day. Please let us know a day or so beforehand approximately what time you expect to arrive. On the day you leave, we'd be grateful if you could vacate the room by 10am. The balance of your bill (including any additional services you have used during your stay) will be payable when you check out. We prefer balance payments to be made by debit card.

Damage, losses and breakages
If you should happen to break, damage or lose any of our property, please let us know as soon as possible. We do not usually charge for minor breakages, however if there is significant damage we may invoice you for any repairs, making good or replacements. We also reserve the right to make an additional charge of £25 if you did not report this damage to us.
If you lose one of our keys we will charge you for a replacement, as well as additional costs if it is necessary to carry out any work such as changing locks as a result.

Wine, beer, spirits etc

Exmoor House is licensed to serve alcohol to resident guests, and to non-residents who are having a full meal with us. We have a good selection of wines, local beers and Somerset ciders, as well as spirits, fortified wines and liqueurs. Guests are asked not to consume alcohol on the premises that they have bought elsewhere. Corkage fee is £10 per bottle.

Supervision of children
Children must be supervised by a responsible adult at all times, particularly in the guest sitting room. At mealtimes, they are expected to remain seated (we'll be carrying hot dishes around!). No games consoles in the dining room, please, and if they're used in the guest sitting room the sound should be turned off.

Liability
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves.

Privacy policy
We never pass any of your details on to any third parties, unless required to do so by law. However, with your permission, we may contact you from time to time with news, special offers, etc.

Other useful information

How can we help?

Please feel free to discuss with us any particular needs, concerns or questions you have regarding your stay, and we'll do our best to help. We do want you to thoroughly enjoy your time with us! For more details, please refer to our access statement (we can also email or post you a copy if appropriate).

Peace & quiet

For a restful, 'get-away-from-it-all' stay, we've taken the decision not to have TVs in guest bedrooms or the guest sitting room. You'll find a good selection of books and games, which you're welcome to make use of during your stay. Please note also, that most mobile phones don't work here. If you can get a signal, we'd be grateful if you'd keep your mobile switched off when in the dining room or guest sitting room. There is a cash payphone in the hall, and the village public payphone (credit card only) a short walk away.

Bank Holidays

Please note that one-night stays are not normally available over Bank Holiday weekends and may not be available at certain other times.

Single occupancy of a room

We regret we do not have any single rooms at Exmoor House. There is therefore a £22.50 per night single supplement for sole occupancy of a room (or in other words a discount off the full room rate for two people) - subject to availability.

Children

Children are welcome. The tariff for children aged under 12, sharing a family room with parents or other responsible adults, is £22.50 per child per night for bed and breakfast (other meals are charged for separately). No charge for babies if you bring your own travel cot; there is a small charge for borrowing our cot.
Out of consideration for other guests, we prefer not to have very young children in the dining room in the evening. High teas, served earlier, are available for children at a cost of £6.50 each.

No smoking policy

Exmoor House is non-smoking throughout.

Pets

We are unable to accommodate pet dogs, cats etc, but we can provide details of a local kennels.
