Exmoor House booking conditions and other information
Telephone Bookings
A non-refundable deposit of £25 per person is required
to confirm each booking, when your reservation is made with us direct (for
online bookings, please see below). We cannot guarantee to hold a room if
no deposit has been paid. We usually take deposits over the telephone by
debit or credit card (please do not send any card details via email). Alternatively,
you can send a cheque to us if you prefer - made payable to ‘Exmoor House
Country Hotel’. In this case we'll reserve the room
provisionally for you until your cheque arrives.
Online Bookings
For online bookings, the deposit is the full amount of your first night's
stay. Some online bookings are via a third party, and as such, other booking
conditions may also apply. You will have to confirm that you have read,
and agree to, these conditions before your booking can be processed.
Payment
We accept most credit/debit cards (debit cards are preferable;
we may make an extra charge if you pay the balance of your stay by credit
card). Cheques are accepted up to the value of an accompanying cheque guarantee
card. You may also pay the balance of your stay in cash.
Cancellations
Where reservations are cancelled, guests’ deposits are non-refundable
and if we are unable to re-let the room(s), it may be necessary to charge
up to the total cost of the booking. If you cancel
within 72 hours of arrival, do not arrive on the date booked, curtail your
stay partway through, or do not take any of the services booked, you remain
liable for the full cost.
You are advised to consider taking out a travel insurance policy to cover
these eventualities. One company providing such policies can be found
here. Please note that this does not constitute a recommendation; for
advice about insurance you should consult an organisation registered with
the Financial Services Authority.
Non-availability of accommodation
In the unlikely event that, for reasons beyond our control, your
accommodation should be unavailable, we would attempt to find a suitable alternative.
If this were not possible, or not acceptable to you, then we would refund
any money you had paid us. Our liability would not extend beyond this refund.
Arrival and departure
Please let us know a day or so beforehand approximately what time you'll be
arriving. Check-in times are normally between 3 and 5pm but, as long as you
discuss it with us so we know when to expect you, it's generally OK to arrive
earlier. Check-ins after 5pm are by special arrangement. On the day you leave,
we'd be grateful if you could vacate the room by 10am. The balance of your
bill (including any additional services you have used during your stay) will
be payable when you check out. We prefer balance payments to be made by debit
card.
Damage, losses and breakages
If you should happen to break, damage or lose any of our property,
please let us know as soon as possible. We do not usually charge for minor
breakages, however if there is significant damage we may invoice you for any
repairs, making good or replacements. We also reserve the right to make an
additional charge of £25 if you did not report this damage to us.
If you lose one of our keys we will charge you for a replacement,
as well as additional costs if it is necessary to carry out any work (such
as changing locks) as a result.
Liability
We do not accept any liability for any damage, loss or injury to
any member of your party or any vehicles or possessions, unless proven to
be caused by a negligent act by ourselves.
Privacy policy
We will never pass any of your details on to anybody else, unless
required to do so by law. However, with your permission, we may contact you
from time to time with news, special offers, etc. NB:
if you are making an online booking via a third party, their privacy policy
may be different and you may be asked whether they can pass your details on
to other organisations for marketing purposes.
Information on other websites
We cannot be responsible for accuracy of content on any third-party websites.
We do not have any single rooms at Exmoor House. There is therefore a £22.50 per night single supplement for sole occupancy of a double room (in other words, a discount off the full room rate for two people) - subject to availability.
Children are welcome. The tariff for children aged
under 12, sharing a family room with parents or other responsible
adults, is £22.50 per child per night for bed and breakfast (other
meals are charged for separately). No charge for babies if you bring your
own travel cot; there is a small charge for borrowing our cot.
Out of consideration for other guests, we prefer not to have very young
children in the dining room in the evening. High teas, served earlier, are
available for children at a cost of £7.00 each.
